Guidance Policy for the Use of Artificial Intelligence Tools

Objective

Establish clear guidelines on the use of AI tools by authors, reviewers, editors and others involved in the CIADS editorial process, ensuring the ethical, transparent and responsible use of these technologies.

 

Definition

Artificial Intelligence tools include, but are not limited to, programs that use machine learning algorithms or natural language processing to generate, edit or review texts, data analysis or figures.

 

Permitted Use of AI Tools

AI tools can be used to

  • Text Revision Support: AI tools can be used to make grammatical, stylistic and spelling corrections to manuscripts. The use of these tools should be considered as an aid in the initial revision phase, allowing authors to identify errors and improve the clarity of their texts. However, it is imperative that the final revision is carried out by a human, ensuring that the interpretation of the content and its appropriateness to the scientific context are preserved. This is fundamental to maintaining the integrity of the scientific message.
  • Data Analysis: The use of AI to process and analyze large data sets is accepted, especially in research involving quantitative methods. AI tools can facilitate statistical analysis, pattern identification and data visualization. However, authors must clearly describe the methodologies used, the limitations of the tools and how the data was interpreted, ensuring that the results presented in the manuscript are robust and valid. This transparency is essential so that reviewers and readers can assess the quality and reliability of the results.
  • Assisted Translation: AI-assisted translation tools can be used, as long as the final text is reviewed by an expert to ensure contextual accuracy;

 

Use Not Permitted

  • Content Generation: Authorship of manuscripts cannot be attributed to an AI. The use of AI to generate substantial parts of the content (such as writing introductions, discussions or conclusions) is not permitted.
  • Authorship and Contributions: AI tools should not be listed as authors or co- authors. The use of AI should be clearly disclosed in the methodology section or in a footnote, explaining how and in which part of the work the tool was used.

 

Accountability and Transparency

  • Declaration of Use of AI: Authors must clearly declare the use of any AI tool during the writing process, review, data analysis or other relevant aspect of the article. This declaration should be made in the methods section and in the conflicts of interest statement on the title page.
  • Author’s Responsibility: The use of AI does not relieve authors of their responsibility for the accuracy, completeness and originality of the content submitted. Authors are fully responsible for the final content and for any errors or omissions that may arise from the use of AI.

 

Ethics and Compliance

  • Scientific Integrity: The use of AI must be conducted in such a way as to maintain ethical standards of scientific integrity. Any use that leads to the fabrication of results or manipulation of data is strictly prohibited.

 

Policy Review

This policy will be reviewed periodically in the light of technological innovations and changes in the ethical-academic landscape to ensure that it remains current and effective.
